30-day Claude rollout plan for NGOs
In the 2026 Nonprofit AI Adoption Report, 92% of nonprofits said they use AI, but only 4% had documented, repeatable workflows. Buying seats is the easy part. Moving from “a few people use it” to “this is how we work” takes a deliberate first month.
This is the plan we use with partners after they sign up for Claude Team. If you haven’t chosen a plan yet, start with our Claude for Nonprofits guide. The plan assumes a team of 5 to 30 people and one person who can give it four to six hours a week.
Before day 1: pick the owner and the two workflows
Name one owner: the person who will maintain the policy, the reference material and the admin settings. Then pick two workflows only:
- one low-risk workflow with visible time savings (an internal knowledge base, beneficiary FAQ drafts);
- one that matters to leadership (grant drafts, donor reports, board papers).
Resist the urge to try everything. Teams that pick ten use cases in month one usually finish it with ten half-used ones.
Week 1: set up and decide
- Verify through Goodstack and set up the Team plan on your organisation’s domain. Indian organisations should check eligibility for the US$3 LMIC rate during verification.
- Turn on SSO if you have Google Workspace or Microsoft 365.
- Write and approve a one-page policy. Our nonprofit AI policy template covers the six sections.
- Confirm the two workflows and name an owner for each.
- Get everyone through Anthropic’s free AI Fluency for Nonprofits course.
Week 2: build the reference material
Create a Claude Project for each workflow. Load approved source documents: programme descriptions, theory of change, standard text, past reports. Write instructions that tell Claude to ask questions before drafting and to flag anything it can’t source.
Assign an owner for each reference pack and keep the master copies as editable documents, so corrections are easy. For a proposal workflow, our safe workflow for Claude grant writing shows what goes in the pack.
At the end of week 2, record a baseline: how long does one instance of each workflow take today, the old way?
Week 3: connect, carefully
Add only the connectors you need, starting read-only: Google Drive or Microsoft 365 for documents, then your CRM. Anthropic offers nonprofit connectors for Salesforce, Blackbaud, Benevity and Candid. If you run on Zoho CRM or Bigin, connections should read first and require a person to approve any record change.
Run real tasks side by side with the old way, and note where Claude’s draft needed heavy correction. Those notes tell you whether the problem is the instructions, the reference pack or the workflow itself.
If your programme data lives in an MIS, this is the week to decide whether Claude should read from it. Our MIS guide covers what AI can realistically do inside a nonprofit MIS, and where humans must stay in charge.
Week 4: measure and decide
Compare against the week 2 baseline:
- Time: minutes per task, old way vs with Claude.
- Edit effort: how much of the draft the reviewer rewrote (none, light, heavy).
- Errors caught: any facts Claude got wrong, and whether they came from the reference pack.
- Use: how many people used each Project in the last week.
Keep what worked, drop what didn’t, and choose the next workflow. Write a 90-day plan with one owner per workflow.
If nothing worked, the usual reason is reference material, not the model. Stale programme descriptions and scattered figures produce confident, wrong drafts. Fix the source and rerun week 3.
Signs you need more than 30 days
- Your key numbers live in several spreadsheets that disagree. Claude will summarise the mess very fluently, which is worse than not summarising it. Fix the system of record first.
- You want Claude to read beneficiary records. That needs a data map and consent basis before any connector is switched on.
- Leadership hasn’t agreed the two workflows. Go back to “before day 1”.
Ready to put Claude to work in your organisation?
If you’ve bought seats, or are about to, we can run this plan with you. Book a Claude rollout planning call with EdZola. Bring one workflow, for example your next funder report, and we’ll map how Claude fits, what your team needs to review and what it will cost to run.
